Important information about this form

Under the Data (Use and Access) Act 2025, you have the right to raise a complaint if you believe your personal data has been collected, used, stored, shared, or otherwise processed in a way that does not comply with data protection law.

You are able to do so by completing this form.

All complaints submitted under this process will be recorded and reviewed by our Privacy Team.

When we receive your complaint, we will:

• Acknowledge receipt of your complaint.

• Review and investigate the matters raised. Where appropriate, the complaint may be referred to our Data Protection Officer and/or other relevant internal departments to support our investigation.

• Assess whether the processing of personal data complied with applicable data protection law and internal policies. Where we identify that an error or non-compliance has occurred, we will take appropriate corrective action.

• Normally respond within one month. Where the complaint is complex, this period may be extended by up to two additional months. If this happens, we will inform you of the reason for the delay.

Additional information and identity verification

To help us investigate your complaint and ensure we protect personal data appropriately, we may need to verify your identity. If required, we will contact you to request documentation confirming your identity (for example, a copy of a passport, driving licence, or proof of address).

Any identification documents provided will be used solely for verification purposes and will be handled in accordance with applicable data protection law.

In order to investigate your complaint effectively, we may also contact you to request additional information or clarification.

Where further information and/or documentation is required, the time taken for you to provide this information may affect the timeframe for our response.

Malicious or excessive complaints

Where a complaint is manifestly unfounded, excessive, or repetitive, we reserve the right to refuse to act on the complaint or to charge a reasonable administrative fee (where permitted by law).

In such cases, we will explain the reasons for our decision and inform you of your right to complain to the Information Commissioner’s Office.
